Send summary via email – Overview of multiple reservations for a guest

What is the summary email?

With the summary email, you can send a guest an overview of multiple reservations – with flexible selection.

This means you decide which reservations should be included.

Example: only the reservations during the guest’s next hotel stay, not those for a later stay.

This keeps communication clear, well-structured, and tailored to the guest’s current context.


How do I send the email?

  1. Search for the guest’s reservations (e.g., via search or the guest profile). (See access options for all entry points.)

  2. Click “Select multiple reservations.”

  3. Check the boxes for the reservations you want to include in the summary. 

  4. Click “Edit selected reservations” in the top right.

  5. In the popup, choose “Send summary email.”

  6. Click “Preview changes.” You’ll see a summary of all selected reservations. 

  7. Confirm by clicking “Send.” → the guest receives an email with the overview.

 


Adjusting the email template

The email automatically uses the template “Reservation Summary.”
You can find and edit it under:
Settings → Email → Templates → Reservation Summary

 

👉 Important: Make sure the template includes the merge tag .
Only then will the summary be correctly inserted into the email.


Tips & notes

💡 Tip: Ideal when a guest has multiple reservations within a short period (e.g., during a hotel stay) and needs a clear overview.

It’s also possible, with multiple linked restaurants sharing a guest database, to include reservations from different restaurants in the same summary.

⚠️ Attention: Only the reservations you select will be sent – not automatically all future ones.

⚠️ Attention: If no email address is stored for one or more of the selected reservations, the system will alert you. In this case, you’ll need to review all selected reservations and deselect any without an email address.
