PMS Integration: How it connects to aleno

This article explains how the PMS integration works, which data is transferred, and how you can use it in daily operations – e.g., to create reservations faster without copying data manually.

The integration between your Property Management System (PMS) and aleno ensures that guest data and hotel bookings are automatically transferred from the PMS into aleno. This gives you all the relevant information directly in the system you use to manage your restaurant reservations – without the need for duplicate data entry.

What does the integration do?

  • aleno automatically pulls hotel booking data and guest data from your PMS.

  • This data is available directly in aleno – for example, when manually creating a restaurant reservation.


What data is transferred from the PMS?

From the moment the integration is activated, all new and updated hotel bookings are transferred to aleno – including guest names and contact details, booking period, room numbers, and booked packages.

Note: If needed, a one-time data import (“bulk upload”) can be triggered during activation. Depending on the PMS, this may include all upcoming bookings for the next 12 months.

🔄 Synchronization is one-way: aleno reads data from the PMS but does not write any changes back to it.


How long does synchronization take?

Changes made in the PMS will appear in aleno within approximately 5 minutes.


How to use the integration in daily operations

Once the data from your PMS is available in aleno, you can create a restaurant reservation quickly – using, for example, the guest’s name or room number. The booking data is then automatically filled in.

This gives you immediate access to key details like check-in/check-out dates, the booked package, and any special notes from the PMS.
It saves time, reduces errors, and ensures your service team has everything they need to serve the guest appropriately – e.g., if a special arrangement has been booked or a specific table preference is on file.
