In this article, we show you what aleno Insights is and how it can be used to make data-driven decisions about your restaurant(s).
What exactly is Insights?
In aleno, a vast amount of data is collected—data on guests, reservations, and shifts. Many of these data points are not analyzed or presented in aleno, making them unreadable or difficult for users to access.
Since aleno functions as a digital assistant, we want to make this data accessible through Insights.
The great thing about this solution is the high degree of flexibility it offers. Do you want an analysis of specific or additional data? No problem—we can create it in Looker and then integrate it into aleno just for you.
What data is available?
By default, we offer the following dashboards for your analysis. We are constantly improving and updating the available Dashboards & Reports and adjust them to our customers needs. If you have improvement ideas or missing something, feel free to reach out to us.
1. Dashboard
The dashboard shows the most important data about your restaurant(s). The report is preset to the last 12 months, giving a good overview of performance during that time. You can further refine the selection using filters.
Do you want to find out which are the strongest shifts, which is the strongest month, or the most visited times? The dashboard provides a good overview of this.
2. Reservation Overview (Future Reservations)
This dashboard gives an overview of future reservations. Do you want to see at a glance what’s booked for the next two weeks, in which shifts, and at what times? This report provides an analysis of that.
The report is set by default to the next 14 days. You can adjust this period to your desired timeframe using filters.
3. Daily Overview (Kitchen/Service List)
Do you want to see at a glance which reservations are coming up today, how many guests are coming at what times, and what their wishes are?
The daily overview is particularly interesting for service and kitchen staff.
4. Guests
Do you quickly need a list of guests with specific criteria? For example, guests who have subscribed to the newsletter or guests who have visited more than 10 times? Or certain guest tags? With the Guest Report, you can easily create these lists using filters.
5. No-Show/Cancellation Reports
How many no-shows or cancellations do we actually have? When and during which shifts do they occur? Which group sizes have particularly high no-show rates? The No-Show/Cancellation dashboards provide insights into this. They are particularly useful for making informed decisions to avoid no-shows:
•In which shifts is it worthwhile to request credit cards to prevent no-shows (alenoPay)?
•For which group sizes should alenoPay be activated?
•How many cancellations are there, and when do cancellations occur most frequently
6. Tables
This report shows which tables are free in the next 14 days (the period can be adjusted using filters).
7. Revenue
If you have a connection to the cash register, this dashboard provides insights into revenues:
•Which items are sold most frequently?
•What is the total revenue per day/week/month?
•What is the revenue per minute/per table?
•What is the revenue from guests with certain tags (e.g., VIPs)?
8. Reviews
If you have a connection to Re:Spondelligent, this dashboard provides a simple overview and summary of guest reviews:
9. PMS/Hotel Report (coming soon)
The hotel report provides information about how many of the guests are hotel guests versus external guests. It also provides a summary of how many reservations were automatically created via the PMS connection (PMS Automation).

Is it possible to customize data/guest lists and integrate them into aleno?
Yes, it is possible. We can customize reports/data and integrate them into aleno under “Insights” for you. Please contact support@aleno.me for this and describe as precisely as possible what exactly is desired (the price is a one-time fee and depends on the effort).
Can the reports be downloaded?
Yes, the reports can be downloaded directly from aleno (PDF, CSV, PNG, XLSX).
Can the reports be sent via email?
Yes, we can send the reports to you via automatic email delivery. Please contact support@aleno.me with the following information:
•Name of the report
•Which filter settings (e.g., filtered by evening shift)
•List of recipients (email addresses)
•Time & days of delivery (e.g., every Mon, Tue, Wed at 4 p.m.)
•Desired format (PDF, CSV, PNG, Excel)
How fast is the synchronization?
The data synchronization occurs every 10 minutes. As soon as a reservation is entered into aleno, it will be imported into Insights within a maximum of 10 minutes.
