You want to reduce your last-minute cancellations without any additional effort and avoid errors in the number of people and the date or time of the reservation? We'll show you how to activate the automated reconfirmation.
The reservation reconfirmation feature allows guests to check and validate their booking details, significantly reducing the likelihood of last-minute cancellations. By allowing them to confirm personal information and booking details, this feature not only helps to avoid errors, but also promotes trust and reliability. Ultimately, this improves the overall customer experience.
Example
An automated reminder email or text message is sent e.g. 2 days before the reservation date. Guests are asked to confirm their reservation details, including the number of people and date/time, via a link contained in the email or text message.
The status of the reservation in the aleno BooqIn and SeatIn view changes automatically from ‘Confirmed’ to ‘Reconfirmed’. This is also indicated by a separate status colour.
This allows you to see at a glance which reservations have already been reconfirmed by guests.
Set Up
- Open the settings menu. In the left navigation, select the "Shifts" option. Choose the specific shift for which you would like to enable the reconfirmation feature and proceed to edit it.
- Scroll down to the reminder email settings and enable the reconfirmation link.
Please note that the reconfirmation link is only available if reminder emails are enabled. - Open the Settings menu and navigate to either Email or SMS settings. Here, you will have the option to insert the new merge tag {{ReservationReconfirmationLink}} into any template of your choice. By default, this merge tag is automatically included in the reminder email and sms template unless you have made manual modifications.
- If you have not made any custom modifications to the reminder email or SMS, the reminder template will now include the reconfirmation link.
If you wish to include the reconfirmation link in your custom template, you can do so using the merge tag {{ReservationReconfirmationLink}} . This tag can also be used as a target link behind a hyperlink. - When guests click the link, their reservation status will automatically change to "Reconfirmed." It is important to note that each reservation can only be confirmed once; additional confirmations are not allowed. Furthermore, the reconfirmation feature is only available for reservations that are scheduled for a future date.
Please note that the reconfirmation link is only available if the reminder emails are enabled. Additionally, sending the reconfirmation link via SMS is only possible when the reminder email is also active.
