Which fields must be correctly maintained in the PMS for guest profiles to synchronise?

In this article, you will learn which guest data from the PMS is required for successful synchronisation with aleno, which formats are supported, and which fields are optional.

Overview

For a guest profile to be successfully synchronised from the PMS to aleno, certain fields are technically validated.
Only two fields are critical for synchronisation: phone number and email address.

All other fields are optional and do not block the synchronisation.

Mandatory fields with validation

Phone number

Phone numbers are validated against an international standard commonly used by modern systems.

Requirements:

  • international format with country code
    e.g. +41… or 0041…

  • digits only
    (spaces are allowed, special characters are not)

  • realistic length and structure according to the country

Valid examples:

  • +41339522525

  • 0041339522525

Invalid examples:

  • +41000000000

  • 12345

  • +41ABC123

If the guest's phone number is invalid in the PMS system, the guest profile will not be synchronised to aleno.

Email address

Email addresses are validated using the common web standard also applied by most browsers.

Requirements:

  • format name@domain.tld

  • exactly one @ symbol

  • no spaces

  • only common characters (letters, numbers, dots, hyphens)

Valid examples:

  • info@giessbach.ch

  • max.muster@hotel.ch

Invalid examples:

  • max@hotel

  • max muster@hotel.ch

  • max@

If the guest's email address is formally invalid in your PMS system, guest profile synchronisation may fail.

Optional fields (do not block synchronisation)

The following fields are not required and may be empty without affecting synchronisation:

  • Tags
    Optional.
    If tags are transmitted, each tag must have a name. Invalid tags are ignored and do not block the guest profile.

  • Organisation / company
    Optional. Can be empty or not set.

  • Birthday
    Optional.

  • Gender
    Optional.

Missing or empty optional fields never prevent synchronisation.
